Put a New Process Into Daily Use

Plan a process rollout around the work each role will do differently and the problems a trial needs to uncover.

A team discussing a planning board in an office meeting

The announcement has gone out, but requests still arrive through the old inbox. Before calling that resistance, check whether people can use the new route and whether anyone is watching it. Change implementation deals with these ordinary details. A rollout needs working instructions, time to practice, and someone who can settle questions as they arise.

Describe the Change by Role

For a Denver professional services firm introducing a central request queue, explain what requesters submit, how coordinators assign work and what managers review. List the old habits that must stop, such as maintaining a separate personal status spreadsheet. Identify work already in progress and decide whether it remains under the old process or transfers. That transition decision prevents duplicate records and makes the change date meaningful.

Plan a Trial With a Clear Boundary

Choose one team or request type, name the person who can resolve process questions and define a review date. Allow enough time for ordinary exceptions to appear in the trial, including a missing input or an unavailable reviewer.

Trial Plan
ItemWhat to Record
ParticipantsOne practice group and the coordinators who receive its requests.
PeriodTwo normal operating weeks, adjusted for actual demand.
ReadinessAccess, instructions, routing and a help contact confirmed.
EvidenceMissing fields, reassigned requests and time spent resolving questions.
DecisionExpand, revise or pause based on the observed results.

Make Feedback Easy to Act On

Ask users to report the task they were trying to complete, what happened and the record involved. Sort feedback into training questions, configuration defects and policy decisions. A coordinator can clarify instructions; they should not quietly change approval authority to make a pilot easier. Publish the important changes made during the trial so users know whether yesterday’s workaround still applies.

Hand the Routine to Its Permanent Owner

Before expanding, confirm who maintains instructions, reviews exceptions and helps new staff. Retire the old intake route only when its remaining work has been accounted for. Recheck adoption after the initial launch period, when attention has moved elsewhere. If users return to the previous method, investigate the practical reason before blaming resistance. Ask the permanent owner to run the review meeting and handle an exception before the project team steps away.

NIST describes Flexaust in Warsaw, Indiana combining training with on-site implementation assistance. Employees applied workplace organization methods in production areas. The account illustrates why a course alone is not the whole change: teams also need time and help to use the method in their own setting.
