Court Filing Coordination: Confirm What the Court Received

Check the approved packet, submission result and correction instructions before closing an electronic filing task.

The upload finishes, then an attachment fails validation. Has the motion been filed? The filing coordinator needs evidence from the court’s system and prompt direction from the responsible attorney. This guide separates the practical checks before submission from the response required when the result is uncertain.

Check the Governing Filing Instructions

Federal electronic filing requires the access authorized by the relevant court. The Central District of California also publishes specific redaction requirements in its filing FAQs. Having a login does not establish that a document is ready for public filing; the approved file still needs the appropriate privacy review.

Is the Packet Ready to Submit?

Record the court, case number, assigned judge, filing event, authorized filer and attorney approved deadline. Identify the exact main document, attachments, proposed order and any related entries. Note the source of the instructions and the person who approved them.

Confirm account access and any payment method in advance. Use authorized individual credentials and approved delegation methods; do not solve an access problem by circulating a lawyer’s password.

What if the Portal Accepts the Upload but Not the Filing?

Worked example: a California law firm submits an approved motion with exhibits. One attachment fails the portal’s file validation. The coordinator captures the error, preserves the approved documents and promptly contacts the supervising attorney and authorized filer. The team follows the court’s correction procedure. The tracker does not show “Filed” merely because the main document uploaded successfully.

Which Record Confirms the Result?

Use distinct statuses for ready, submitted, accepted or filed, rejected and corrected. Save the electronic filing notice or stamped copy and compare it to the intended documents. Confirm any separate service responsibilities under counsel’s instructions; filing and service are not interchangeable labels.

Match the Result to the Next Action
What You HaveWhat the Coordinator Does Next
Upload ErrorPreserve the error and contact the attorney and authorized filer.
Submission Receipt OnlyCheck for the court’s filing response using its published process.
Notice or Stamped CopyCompare it with the intended documents and save the record.
Unclear Result Near a DeadlineEscalate promptly; counsel decides the legal response.

Who Handles the Next Action?

If a receipt is missing or the portal is unavailable, tell the attorney promptly. Give the time of the attempt, the affected filing and the exact error. Save the message or screenshot beside the approved packet. Counsel decides the response and any communication with the court.

Assign the correction to a person who can complete it and report back. Keep the original attempt and corrected submission distinguishable. The next staff member should be able to see which version was accepted without comparing a series of similarly named files.
