Design Legal Intake That Gets Requests to the Right Person

Build a legal request form around the information reviewers need, with a clear owner and a route for urgent exceptions.

A plant manager sends a supplier agreement marked urgent. The email does not say which facility needs the work or when the contractor is due to arrive. A legal intake process should resolve that kind of uncertainty early. The form is only the entrance; assignment and follow up determine whether the request gets handled.

Ask Why the Request Matters

Ask what the requester is trying to do and what they need from Legal. Find out why the date matters. A planned shutdown, a customer commitment and a preference to finish before Friday carry different consequences. Use that explanation to help the authorized team assess priority.

Collect the contracting entity and the business contact who can answer follow-up questions. Request relevant documents and show additional fields only when they apply. A supplier agreement may need proposed spend and a start date. A received demand or court document needs a route for prompt attorney attention.

Gartner’s May 2026 analysis includes intake and connected workflows among emerging legal AI capabilities. Before adopting those features, define which actions the tool may take and which decisions require a person. An acknowledgment should identify the request; it should not disguise an unassigned queue.

Assign the Next Owner

Give the requester a reference and explain who will assess the submission. When information is missing, ask for the specific item and keep the reply attached to the same record. Make reassignment visible to the receiving team.

Decide what happens if the named reviewer is away or the request falls between practice areas. A backup owner should be able to accept the work or obtain a routing decision. The requester should have a published way to raise a genuine change in urgency without starting another request.

Test the Exceptions

Try a routine request, an incomplete request and an urgent exception before expanding the form. Check whether each reaches the right person and whether the requester can understand its status. Measure avoidable follow up and time to acknowledgment. Do not use the form to promise a completion time before the work has been assessed.
